AP Electronic File 1099 Processing window
If you paid subcontractors during the year, the IRS requires that you submit 1099 forms. This option will create an electronic file.
The AP Electronic File 1099 Report contains the same information as the printed 1099 report, but instead of a hard copy, it creates a file to send to the IRS. For more information, see Resetting YTD Vendor Totals.
Destination DRIVE:\PATH
This is the computer location the report information will be sent to. If you send a removable disk to the IRS, enter that drive location. If you electronically transmit from your hard drive, enter the location where you want the report information saved for transmission.
Dir...
Use this button to browse your system for the location you want your report information to be sent.
Payment Year
Enter the year you will generate the report information for.
Payer TIN
Your Taxpayer Identification Number (TIN) will appear here automatically if you have entered it in the Fed ID # 1099-MISC field in the AP Module Preferences window. To generate the file, you must also have completed the information in the CMS Electronic Constants window in the Controller module.
Break Amount
If there is a minimum amount below which you do not need to print 1099 reports, enter that amount here. Consult your package 1099 or tax professional to find out what the current amount is.
Payer Name Control
This is the name that is on the mailing label of your package 1099 that is mailed to most payers each December. The package contains Form 7018-C, which is an order blank for forms, and the mailing label on the package contains a four-character name control.
Use Last Year 1099 Amount
If you select this check box, the amount that will be used will be the amount in the Last Year column of the AP Vendors window 1099 tab. You will need to select this check box if you already closed the year for which you will transmit 1099 information.
You will also want to select this check box if you began to use Denali in the middle of the year and didn’t enter all the 1099 information for the vendor. This way, you can enter the proper amounts in the Last Year column on the AP Vendors window 1099 tab.
Last Filing Indicator
Select this check box if you will not be filing information returns under the same payer name and TIN in the future, either electronically or on paper.
Test Indicator
Select this check box if you will use this transmission to test your transmission setup. A “T” is placed in position 28 of the T record in the generated IRSTAX file to alert the IRS that it is a test file.
Combined Federal/State Filing Program
Select this check box if you will submit a combined filing. A “1” is placed in position 6 of record A in the generated IRSTAX file and the federal government will automatically forward your file to the applicable state(s).
Start and End Range: Vendor Number
Use these ranges to specify the vendors to include in the report. Leave the defaults of Start and End to include all vendors, or enter the starting and/or ending value to include.
