Use the Ext. Description tab to maintain extended descriptions for this stock item. You can use the extended descriptions to display messages to your salespeople when they sell this item. For example, you can establish a message that automatically appears when a salesperson enters a sale for a new camera that says, “Would you like to buy rechargeable batteries?”

Description

Enter a description for each of the four available description lines and select the Include check box in the Sales and/or PO column(s) for each line depending on how you want to use the Extended Description.

PO Include check box

If you want to display this description and/or print it when you issue purchase orders, make sure you select the Include check box in the PO column.

Sales Include check box

If you want to display this description and/or print it when you enter invoices or sales, select the Include check box in the Sales column.

PO and Sales Options

Select the option that corresponds to the way you want to use the extended descriptions on purchase orders (PO) and invoices (Sales). Your choices are:

• Never Use: Never use the description lines on purchase orders or invoices. You might select this option if the description is something you turn off from time to time.

• Always Use: Always use the checked description lines on purchase orders or invoices.

• Prompt: This option prompts the clerk to decide whether or not to use the description lines when he enters purchase orders or invoices.
