IN Stock window
Use the IN Stock window to create and manage your stock item records. To delete a stock item, the on-hand quantity must be zero. You can adjust quantity in the IN Adjust Stock Quantities window or the IN Adjustment Transaction window.
Number 
Enter a unique stock number here. This can be any combination of letters and numbers. The stock number appears in Lookups, transactions, and Inventory reports and you can use it as a sort option for reports that contain inventory stock items.
Image 
Click this button to view an image of this stock item. You can add and update the image on the Sales Info tab of this window.
IN Code 
Enter the Inventory Code associated with this stock item in the IN Code box. You set up Inventory Codes in the IN Inventory Codes window. Attach an Inventory Code to every stock item record to determine which GL Inventory accounts are affected when you add or subtract an item. Inventory Codes also appear as sort options for several Inventory reports.
If you selected the Allow copy of stock item information and sales information check box in Module Preferences, after you save the stock item, the IN Code you entered will stay in the field to speed up stock item entry.
Description 
The description accompanies the stock number to help identify the item. The description appears in Lookups and on Inventory reports.

If you are using Variants, this field will display Differs By Variant.
Qty All Locations 
This label shows the quantity of the selected stock item in all locations in which it exists. This label only appears if you have Multi-Location Inventory (MLI) installed to the current company.
On Hand 
When you set up a new stock item, you can enter the beginning quantity in this box or use adjustment transactions at a later time to set the quantity.
If you enter a starting quantity in the On Hand box, you must also enter a value in the Last Cost box on the Qty / Price Info tab. The On Hand box shows the current inventory quantity for this stock item. Once you save a new stock item, the on-hand quantity is locked and you can only change it when you post sales or adjustment transactions. If you want to delete the stock item, the on-hand quantity must be zero.
If the item is serialized, you cannot enter an on-hand quantity here. You can use the Adjust Stock Quantities option on the Adjustments menu. This process requires you to enter the serial number of each serialized item you have on hand.
Created 
When you enter a new stock item, you can enter the date the stock item was created. This field is read-only after you save the stock item.

Location 
Enter a stock location or, if you have Multi-Location Inventory installed, use the Lookup to select from a list of available locations.

Active / Superseded 
Select the desired status for the stock item, either Active or Superseded.
Active: This means that the stock item in the Number box is the actual item you will sell. This is the default option.
Superseded: This means that the stock item in the Number box is superseded by a different item. If you select the Superseded option button, use the Superseded box to specify the stock item you will use instead. If you select this option, when you select this stock item from a Lookup in Sales, the stock item in the Superseded box replaces the item in the entry window.
Primary Vendor 
Enter the primary vendor from whom you purchase this stock item. The primary vendor functions as a sort option for Inventory reports. You can enter other vendors the IN Stock window on the Vendor tab.

Term 
This field only appears if you select the For Lease check box. Enter the length of the lease and from the drop-down select days, months, or years.
Use Variants 
This check box is only available for items that have an on-hand quantity of zero. Select this check box if you want to set up variations of this stock item. For example, if you have a stock item with different sizes and/or colors, you can enter the main stock item and then enter variants of size and color. When you select this check box, the Variants tab will be enabled in the Detail section below where you can enter the variations for the stock item.
You can use the IN Adjust Stock Quantities window or purchase orders to set the on-hand quantity for stock items that use variants.
You will be required to choose which variant you want to sell or purchase from the Description field in those modules.
Serialized 
This check box is only available for items that have an on-hand quantity of zero. Select this check box if you want to track serial numbers for this stock item. This option is only available if the Serialized System check box in Module Preferences is selected. If you mark the item as serialized, you must use adjustment transactions to set on-hand quantities. You will be required to enter a serial number each time you receive or sell this stock item.
If you selected the For Lease check box, this check box is automatically checked.
Lot Numbered  
This check box is only available for items that have an on-hand quantity of zero. Select this check box if you want to assign lot numbers to this stock item. This option is not available for serialized stock items or items that use multi-pack pricing. If you mark the item as lot numbered, you must use adjustment transactions to set the on-hand quantity. You will be required to enter a lot number each time you receive or sell this stock item.
For Lease 
This check box is only enabled if you have Accounts Receivable and Sales installed, and you select the Serialized System check box in Module Preferences. All items available for lease must be serialized.
Select this check box if you want this stock item to be available for lease. The Serialized check box will automatically be checked.
To attach a lease price to the item, you must add a Non-Inventory Code on the Sales Info tab. Items that are for lease can still be sold if you include the For Lease check box in the Sales Set Up Sales Entry Layout window. The sale price for the item is set on the Qty/Price Info tab.
If an item is leased, it will still appear in your inventory as On Hand and be included in inventory valuation, but will not be available for lease or sale.
Superseded 
This box is disabled until you select the Superseded option. Select another stock item to supersede this stock item. Whenever you select this stock item the stock item in the Superseded box will be used in place of the stock item in the Number box.

Alternate 
Enter an alternate stock number sales clerks can substitute for this stock number. This box is optional and will not automatically substitute this item. In the event that the item in the Number box is unavailable, the sales clerk can look in this box to suggest a substitute that might suit the customer's needs.

Interchangeable 
Enter a stock number if you have an item that is similar or identical to the current stock number a sales clerk can use interchangeably with it. This box is optional and will not automatically substitute this item. In the event that the item in the Number box is unavailable, the sales clerk can look in this box to suggest an alternate item that might suit the customer’s needs.
