Sales Salesperson Codes window: General Options tab
Use this tab to specify salesperson permissions for general activities, such as refunds, price overrides, and checks over the amount of purchase.
Refunds
Select this check box to allow this salesperson to process refund transactions. A refund is a transaction in which any return is greater than the purchase, which results in a net refund to the customer.
Special Orders
Select this check box to allow this salesperson to sell special order items. A special order is anything that you type into the Item field of a sales entry window that isn’t set up as an inventory or non-inventory item.
Modify Kits
Select this check box to allow this salesperson to edit the items and quantities in a kit during a sale. Editing a kit during a sale will not permanently change the contents of the kit; you would need to do that in Inventory.
Void Transaction
Select this check box to allow this salesperson to void saved sales transactions.
Terms Code Override
Select this check box to allow this salesperson to override the
Terms Codes of customers established in Accounts Receivable.
Credit Limit Override
Select this check box to allow this salesperson to override the credit limit of a customer when they enter a transaction.
Allow Preauthorized Transactions
This check box is only available if you have credit card authorization software selected in Module Preferences. Select this option to enable the Pre-Auth [F10] button in the Sales Transactions Closeout window for this salesperson.
Price Override
Select this check box to allow this salesperson to override the price of a stock item when they enter a transaction. If you leave this check box unchecked, this salesperson cannot change the price of an item. This only applies if you set up the sales entry
layout to allow input into the
Price field of the detail section of the
Sales Order Entry and/or
Sales POS Register window.
Allow Discounts
Select this check box to allow this salesperson to use the Discount Line Item, Discount Since Last, and Discount Invoice Total options in the Entry window. If a salesperson tries to discount items and this check box is not selected, they will need a manager override.
Allow Flagged Check Override
Select this check box to allow this salesperson to continue to process a sales transaction even though the customer has a
flagged check in the system.
Allow Past Due Accounts Override
Select this check box to allow this salesperson to continue to process an AR Charge transaction even though the customer is past due on their account. A message will appear that indicates the customer is past due and the salesperson can choose to override or not.
Save Transaction without Printing
Select this check box to allow this salesperson to save a sales transaction without printing. We recommend you use this feature with caution. If you allow a clerk to save a transaction without printing it, there is no guarantee each transaction will save without changes being made to the original transaction.
Edit Saved Invoices/Receipts
Select this check box to allow this salesperson to retrieve saved invoices/receipts and edit them.
Allow Create POs
Select this check box if you want to allow this salesperson to
create purchase orders from the sales entry window.
Allow Job Cost Invoicing
This option is only available if you use Denali Business. Select this check box if you want to allow this salesperson to create Job Cost invoices in Order Entry.
Maximum Check Amount
Specify the maximum check amount that this salesperson can accept. This can limit your liability in the event that the check is returned unpaid.
Credit / Debit Card Amount Limit
Specify the maximum credit/debit card amount that this salesperson can accept.
Maximum AR Credit Amount
Specify the maximum AR Charge amount that this salesperson can authorize. This can limit your liability in the event that the customer defaults on their payment.
Customer Query
Select the option in this section that corresponds to the level of access you want this salesperson to have to customer information.
• Inquiry and Edit: This salesperson will be able to view and edit the customer’s record. This is the lowest level of security for the customer record, and should only be used for salespeople with a high level of responsibility.
• Inquiry Only: This salesperson will be able to view the customer’s record, but not make any changes. This allows the clerk to view the information necessary to complete the sale or provide high-quality customer service.
• Not Allowed (default): This salesperson will not be able to view the customer’s record. This provides the highest level of security for the customer record, but can be inconvenient for the clerk and therefore also for the customer.
Inventory Query
Select the option in this section that corresponds to the level of access you want this salesperson to have to inventory information.
• Inquiry & Edit: The selected salesperson will be able to view and edit the stock item record. This is the lowest level of security for the customer record, and should only be used for salespeople with a high level of responsibility.
• Inquiry Only: The selected salesperson will be able to view the stock item record, but not make any changes. This allows the clerk to view the information necessary to complete the sale or provide high-quality customer service.
• Not Allowed (default): The selected salesperson will not be able to view the stock item record. This provides the highest level of security for the customer record, but can be inconvenient for the clerk and therefore also for the customer.
POS Register Only
The check boxes in this section, along with the Check Over Amount of Purchase, apply only to the Sales POS Register window and not to the Sales Order Entry window.
Paid Out
Select this check box to allow this salesperson to process Paid Out transactions. Paid Out transactions are used when you need to take money from the drawer or till for miscellaneous expenses.
Balance Register
Select this check box if this salesperson is permitted to balance the register. This option should be reserved for highly-trusted salespeople because it provides access to both the cash drawer and to records of what was counted and what the register totals should be.
Quick Count
This box will only be available if the Balance Register check box is checked. If you select this check box, this salesperson will have the ability to perform a quick count of the currency when they balance the register. This means they will have the ability to enter a total amount for the register instead of itemizing each denomination tendered.
Check Over Amount of Purchase
Specify the maximum amount over a transaction total for which this salesperson can tender a check.
Totals
This section shows totals for the selected salesperson.
Date of Last Sale
This is the date of the most recent sale by the selected salesperson.
Amount of Last Sale
This is the net amount of the most recent sale by the selected salesperson.
