PO Enter Purchase Orders window: Header Information
There are many fields you can select from the
Header ta
b of the
PO Set Up Purchasing/Receiving Layout window to appear in the Header here. You can also configure them with titles that you choose. Depending on the number of fields you set up, you might see horizontal scroll bars.
Use the SHIFT+F5 key combination to quickly move to this section of the window without using the mouse.
Buyer
This field defaults to the
Buyer Code of the person currently logged into Purchase Order. You can edit this information.
Buyer Name
This field is read-only and displays the name of the buyer associated with the selected Buyer Code.
Cutoff Date
This field only appears when the Open PO field is checked and can be edited. This is the cutoff date for the purchase order and once the date expires you cannot edit the order. Also, you cannot add additional line items in this window or in the PO Add Items window when the date in this field id earlier than the current local transaction date.
Department
This field defaults to the
Department Code set up for the buyer currently logged into Purchase Order. You can edit this information.
Department Description
This field is read-only and displays the description of the selected Department Code.
Discount Amt
If you selected the percent discount type, enter the percentage to discount this order. If you selected the dollar discount type, enter the dollar amount to discount this purchase order. After you enter a discount in this field, the Discount check box in the detail grid appears.
Discount Type
Select the type of discount to apply for this purchase order. Your options are Percent or Dollar.
Expected Date
This is the date you expect to receive the purchase order items. This field autofills with the local transaction date, but you can edit it. If you are generating a recurring order, this date autofills with the date saved on the original recurring order.
F.O.B.
Enter the geographic location at which you assume responsibility for the freight and shipping charges.
Freight Amt
This field is only available if you select Collect or Added as your freight type. Enter the freight charges for this purchase order. The amount you enter here is disbursed among the detail line items that have the Apply Freight check box checked in the detail grid.
Freight Type
This field defaults to the type set in Module Preferences, but you can edit it. Your options are: Prepaid, Collect, or Added.
Open PO
This check box only appears when the
Open PO Method in the
PO Module Preferences window is set to
Manual Selection with Cutoff or
Manual Selection without Cutoff. This check box is only checked by default if you are generating from a recurring order or from inventory. When checked, the purchase order is marked as open and can be edited. When unchecked, the purchase order is closed, it cannot be edited, and you cannot add additional line items in this window or in the
PO Add Items window.
Payment Discount
This field is for reference purposes only and autofills after you select a vendor. It shows the early payment discount that you entered in the AP Vendors window for the selected vendor. This discount only affects the purchase order when it is invoiced.
PO Date
This is the date of the purchase order. This field autofills with the local transaction date, but you can edit it. If you are generating a recurring order, this date autofills with the date saved on the original recurring order.
Remarks
Enter any comments you want to appear on the purchase order header.
Sales Tax %
Enter the sales tax percent applicable to this purchase order. You can enter up to four decimal places, but the result will show 2 decimals in standard dollars and cents format.
Ship Via
Type the
Ship Via Code or use the Lookup to select a Ship Via Code for this purchase order.
Ship Via Description
This field autofills with the description of the Ship Via Code you selected.
Terms
Enter the vendor terms for this purchase order.
Vendor Contact
The information in this field only appears after a vendor is selected. This field autofills with the contact information you entered in the AP Vendors window for the selected vendor.
User-Defined Fields and Descriptions
These fields and their descriptions only appear when pre-defined in Module Preferences and according to the purchasing layout.
