PO Receive Items window: Detail Information
What you see in this section of the window depends on the setup in the
PO Module Preferences and
PO Set Up Purchasing/Receiving Layout windows. Use the SHIFT+F4 key combination to move to this section of the window without using the mouse.
The information in this section of the window autofills after you select a transaction to receive. Depending on the transaction and line types, some columns might appear differently, or not appear at all. We provide a detailed explanation of the calculations used in the window in
Purchase Order Calculations.
Receive All / Invoice All
The button label changes depending on the type of transaction you choose and is only available if the transaction has items that have not been received or invoiced. Click this button to either receive or invoice all of the items in the grid.
Add Item(s)
This button is only available after you choose a transaction. Click this button to open the
PO Add Items window from which you can enter additional items to this order. Newly added items are highlighted when you return to the PO Receive Items window.
Reset Grid
This button is only available after you choose a transaction. Click this button to reset the grid to the last saved transaction data.
Stock #/Acct
This field is read-only and shows either the stock item number or general ledger account number depending on the line type.
Location
This field is only available if
Multi-Location Inventory is installed. It is read-only and shows the location of the line item as entered on the order.
Description
This field reflects the description of the line item as entered on the order. You can edit this information.
Quantity Received/Returned
This field is only available for Receive and Invoice or Receive Only transactions. Enter the quantity of the item you are receiving or returning. If you are receiving an item, enter a positive number in this field. If you are returning an item, enter a negative number. The format of the number (positive or negative) must match what was entered on the original purchase order.
If a buy conversion was set up for the selected stock item, the quantity you receive is adjusted and the amount is subtracted from the on-order quantity in the IN Stock window upon posting the transactions.
Quantity Remaining
This field is only available for Receive and Invoice or Receive Only transactions and shows the quantity not yet received. You can edit this quantity and when you post the transaction, the original quantity on the open purchase order is also adjusted.
Quantity to Invoice
This field is only available for Receive and Invoice or Invoice Only transactions. You can only edit this field if the line item has been or is being received (contains an amount in the Quantity Received/Returned field). Enter the quantity you want to invoice for this line item. If you select the Complete check box in the header, this field is automatically filled with the quantity remaining.
Received and not Invoiced
This field is read-only and is only visible for Receive and Invoice or Invoice Only transactions. The field shows the quantity of the item that has been received, but not yet invoiced. If you are receiving and invoicing items, this field is automatically zeroed out and the amount is added to the Quantity to Invoice field.
If you enter an amount in the Quantity Received/Returned field, that amount reduces the number in the Received and Not Invoiced field. If you are only invoicing the items on this transaction, this field autofills with the amount received and not yet invoiced on any previous transaction.
Actual Cost
This field is only available for Receive and Invoice or Invoice Only transactions and shows the unit cost entered on the original purchase order. You can edit this cost.
Cost Center
This field is only available if you have a Cost Center license. It shows the Cost Center for direct expense detail lines that you entered on the purchase order. You cannot edit it.
Estimated Actual Cost
This field is only available for Receive Only transactions and shows the estimated unit cost entered on the original purchase order. You can edit this estimated cost.
Extended Invoice
This field is only available for Receive and Invoice or Invoice Only transactions and shows the extended invoiced cost of the item. This cost is based on the quantity invoiced and the actual cost of the item. If you adjust either of these amounts in this window, the extended invoiced cost is automatically adjusted.
Inv. Unit Discount
This field is read-only and shows the discount invoiced per unit.
Inv. Ext. Discount
This field is read-only and shows the invoiced amount of the extended discount.
Inv. Unit Tax
This field is read-only and shows the invoiced tax per unit.
Inv. Ext. Tax
This field is read-only and shows the tax amount that will be invoiced for the line item. An amount only shows in this field if the original purchase order was marked as taxable.
Inv. Unit Freight
This field is read-only and shows the invoiced freight amount per unit.
Inv. Ext. Freight
This field is read-only and shows the amount of freight that will be invoiced for the line item. An amount only shows in this field if the original purchase order was marked to apply freight costs for the line item.
Extended Receive
This field is only available for Receive and Invoice or Receive Only transactions and shows the extended received cost of the item. This amount is dependent on the transaction type.
Land Item
Select the check box to land this item.This check box is only activated if you chose
Select Line Items to Land for the Landing Method in
Module Preferences. Also, this check box is only available for Receive and Invoice or Receive Only transactions.
Land Unit Tax
This field only appears if you checked the
Taxable check box in
Module Preferences for landing. It is a read-only field that shows the landed tax per unit for the line item based on the
Land Ext. Tax field.
Land Ext. Tax
This field only appears if you checked the
Taxable check box in
Module Preferences for landing. It is a read-only field that shows the amount of tax that will be landed for the line item. An amount only shows in this field if the original purchase order was marked as taxable and the item marked to land. The amount is dependent on whether you edited the
Landed Tax field.
Land Unit Discount
This field only appears if you checked the
Discount check box in
Module Preferences for landing. It is a read-only field that shows the landed purchase discount per unit for the line item based on the
Land Ext. Discount field.
Land Ext. Discount
This field is read-only and only appears if you set the
Items to Land setting in
Module Preferences to
Inventory or
All Lines and the
Discount check box is checked. This field shows the extended discount landed.
Land Unit Freight
This field only appears if you checked the
Freight check box in
Module Preferences for landing. It is a read-only field that shows the landed freight amount per unit.
Land Ext. Freight
This field only appears if you checked the
Freight check box in
Module Preferences for landing. It is a read-only field that shows the amount of freight that will be landed for the line item. An amount only shows in this field if the original purchase order was marked to apply freight cost for the line item.
Landed Unit Cost
This field is read-only and shows the unit cost of the line item with all the landing amounts included.
Landed Ext. Cost
This field is only available for Receive and Invoice or Receive Only transactions. This field is read-only and shows the total extended cost of the line item including landing.
1099 Type
This field is only enabled if the selected vendor is marked as 1099 applicable. From the drop-down, select the correct 1099 type for this vendor.
Completed
Select this check box to complete the receiving/invoicing for the line item.
User-Defined Fields and Descriptions
These fields and their descriptions only appear when pre-defined in
Module Preferences and according to the receiving layout. Enter the appropriate information in these fields.
Vendor Stock #
This field autofills with the vendor stock number attached to the selected stock item. You can edit it.
