Sales Set Up Sales Entry Layout window: Tender tab
Use this tab to define tendering methods and prompts. For each tender method you will accept, you can define the type of information the clerk must collect.
Tender Prompts
Select any Tender Prompts (e.g., Check) that you want to include in the specified sales entry window, and define the options that are applicable to your business. To prompt for a payment method, select the check box next to it in the Tender Prompts box on the left side of the window. When you select a payment method, the caption under the Tender Prompts list will explain the prompt. Then, for each tender method that you want to use, select the check boxes that correspond to the information you want the clerk to collect for that tender method. The label above the Text for Prompt field shows the Tender Prompt that is currently being defined. Cash is the only required tender prompt—you can specify which of the other methods you want to prompt for.
Cash
This is the only required tender method and cannot be deselected in the list. You can change the text for the prompt if you wish.
Alternate Tender
Use Alternate Tender when a customer uses a coupon or another method of alternate tender to partially or fully pay for a transaction. Gift cards are accounted for with a separate Gift Card prompt, so if that’s the only type of Alternate Tender you accept, you can leave this check box unchecked and prompt for Gift Card instead.
AR Charge
AR Charge allows customers to charge to their in-house accounts. This is typically used for businesses that send out statements, often on a monthly basis. This method is only available if Accounts Receivable is installed and Sales is integrated to Accounts Receivable.
Check
If you allow customers to pay by check, whether personal or corporate, select this tender and define the button prompts for a check payment.
Credit Card/Customer Card Entry
If you selected <No Authorization Software> or TSYS® TransPort™ from the Authorization Software drop-down in Module Preferences, this option will say Credit Card. If you selected TSYS® TransPort™ 4.0/Genius from the Authorization Software drop-down, this option will say Customer Card Entry.
If you allow this payment type, select the check box and define the button prompts for this type of payment.
If you use Genius, this option only appears in the Transaction Closeout window after you define the IP address in the TSYS setup in Controller.
Debit Card/Salesperson Card Entry
If you selected <No Authorization Software> or TSYS® TransPort™ from the Authorization Software drop-down in Module Preferences, this option will say Debit Card. If you selected TSYS® TransPort™ 4.0/Genius from the Authorization Software drop-down, this option will say Salesperson Card Entry.
If you allow this payment type, select this check box and define the button prompts for this type of payment.
Gift Card
Select this option if you allow customers to use gift cards as payment for sales transactions.
Preauthorization
Select this check box to enable the Pre-Auth [F10] button in the Sales Transaction Closeout window. If you do not have authorization software selected in Module Preferences, this button will be disabled in the Closeout window regardless of the setting here.
Text for Prompt
If you want to change the display name of a specific tender type, enter the text that you want to appear in the Sales Transaction Closeout window.
Authorization
This can be used in different ways according to your business needs. If you are using credit card, debit card, and/or check authorization software, this authorization number will be obtained and returned by the software when the credit card, debit card, or check is authorized.
If you are not using authorization software, you might still want to prompt for this information, but instead of being obtained and returned by the authorization software, the authorization number must be entered by the clerk.
Credit Card Type
If credit/debit card authorization software is installed, this field is informational only. If you don’t have authorization software installed, select this check box if you want your clerks to be able to select the card type (VISA, MC, AMEX, DISC) from the Card Type column in the Sales Transaction Closeout window.
Gift Card Number
If you use a numbered gift card system, this prompt requires the clerk to enter the number of the gift card.
Gift Card Amount
This is the total amount of the gift card, which might or might not be used in full for this transaction.
Preauthorization
If you are using credit/debit authorization software, you can edit the heading for this field.
