Sales Transaction Closeout window
Use this window to enter the types of tender and the amounts that the customer is paying for each type.
Quick Tender Options: USD - United States
The Quick Tender options are only available if they were enabled in the
CMS Denominations window accessed from the
CMS Currencies window in Controller. When you define which tender amounts appear in this window, the lowest denomination is automatically assigned the first shortcut (CTRL+F7). These options must also be activated for the specific Register Code with which you are working.
These Quick Tender options give you the ability to tender frequently-used bills with the click of a button or a hot key.
[CTRL+F7] - [CTRL+F12]
Click these buttons or use the hot key combinations that appear on the buttons to tender the amount set up in the
CMS Denominations window. A
Cash line will be added to the Tender Grid, and the amount will be entered in the
Amount column for you.
Tender Grid [SHIFT+F3 Focus]
Use the grid to enter the specific tender amounts presented by your customer. You can either click in the grid or use the SHIFT+F3 hot key combination to move to the grid. The different types of tender may be referred to by different names depending on the setup of your system.
Currency Code
The first column to the left of the Tender Grid shows the currency code for each line in the Tender Grid. Unless you select Foreign Currency and select another Currency Code, this column will always match the Currency Code that is shown next to the Quick Tender Options label toward the top of the window.
Tender Type
Use the buttons at the top and bottom of the window to specify the tender type. When you select a button, a line will appear in the detail grid and you can add multiple tender types if necessary. The options that are active will depend on your system settings, including the customer setup and the Salesperson Code security. Depending on the system setup, another window might appear requiring authorization information for certain tender types.
Amount
If you used the tender buttons or their corresponding hot keys, enter the amount of each specific type of tender on this line. You can use the Plus (+) key on your keyboard to automatically enter the remaining amount due in this field.
If you used the Quick Tender buttons at the top of the window, the amount is entered for you.
Card Type
If you do not have authorization software selected in Module Preferences and your window
layout is set up to display this field, you can choose the
Credit Card Code to use for this transaction.
Status / Status/Authorization Number
If you have credit card authorization software selected in Module Preferences, this field reads Status and is informational only. If you do not have authorization software selected, this field reads Status / Authorization Number. Based on your setup, you can enter a credit card authorization number into this field. For other payment types, this field is informational only.
• If the tender type for a detail line is Cash, Alternate Tender, or an AR Charge, this field will be blank.
• If the tender type for a detail line is Check, Credit/Debit Card, or Gift Card, this field will reflect the authorization status or allow you to type in the authorization number.
• If you selected to block charges to past due customers in
AR Module Preferences and you select AR Charge for a customer that is past due on their account, this field will read
Past Due - Override Required. You can either select another payment type, or, if you have
rights to do so, you can choose to override this block.
Tender Buttons
Use these buttons below the Tender Grid, or their hot keys (as indicated on the buttons), to accept different types of tender. When you use these buttons, you will also have to enter the amount of the tender. You can do this by either typing in the field or using the Plus (+) key to automatically enter the amount remaining into the field.
[F2] Cash
If you are tendering cash, use this button to insert a Cash line in the Tender Grid and then specify the amount of cash in the Amount column. You can use the Quick Tender buttons at the top of the window (if enabled by system settings) to automatically enter the amount.
If you set up your system to use a touch screen, tap the Cash button to add any remaining balance as a cash amount. If you tap the Cash button again, a 10-key window opens so you can enter a different cash amount for this sale.
[F3] Check
Use this button to tender a check. Enter the amount of the check in the Check line of the Tender Grid and if authorization is required, enter the transaction authorization number.
[F4] Credit Card / Customer
If you selected TSYS® Genius™ as your authorization software, this button reads
Customer. If the customer is paying by credit card, debit card, or gift card, or receiving a refund to a credit or debit card, click this button and instruct the customer to swipe their card through the Genius device. This option only appears if you included an IP address in the TSYS setup in
Controller.
If you don’t use Genius and the customer is paying by credit card, select this button to tender the card. If you have authorization software selected in Module Preferences, enter the necessary information in the window that appears.
If you swipe a card, the card is immediately authorized. If you need to reverse the transaction, you must void the payment line.
If you do not have authorization software selected, enter the amount being charged to the credit card, the transaction authorization number (if prompted) and the card type (if prompted) in the Credit Card line of the Tender Grid. If you are using multiple tender types, you must enter the other payment method(s) before you enter credit card information. The credit card is charged the remaining amount of the transaction.
[F5] Debit Card / Salesperson
If you selected TSYS® Genius™ as your authorization software, this button reads Salesperson. If the customer is paying by credit or debit card, click this button and enter the card information in the window that appears. If the customer is receiving a refund by credit or debit card, click this button and enter the invoice number of the return.
If you don’t use Genius and the customer is paying by debit card, select this button to tender the card. If you have authorization software selected in Module Preferences, enter the necessary information in the window that appears.
If you do not have authorization software selected, enter the amount to charge to the debit card, the transaction authorization number (if prompted) and the card type (if prompted) in the Debit Card line of the Tender Grid. If you are using multiple tender types, you must enter the other payment method(s) before entering debit card information.
[F6] Alt Tender
Use this button to accept alternate tender, such as a coupon. This button will only be available if the system has been set up to accept alternate tender.
Once you choose this tender type, the
Sales Alternate Tender window opens. You can type the Alternate Tender Code in the
Alternate Tender field, or use the Lookup to select the code you want to use. The description will auto-fill; type the amount you will accept in the
Amount field.
After you supply the required information and close this window, the system will insert an Alternate Tender line in the Tender Grid of the Sales Transaction Closeout window.
[F7] Gift
If the customer is using a gift card to pay for the transaction, click this button to open the Gift Card Tender window. Scan the bar code or enter the gift card number.
If you use TSYS® Genius™ and you want the customer to swipe the gift card, select Customer.
[F8] AR Charge
If the customer is applying this transaction to their in-house account, use this button to insert a Charge line in the Tender Grid, and then specify the amount of the charge transaction in the Amount column.
If you set up your system to use a touch screen, tap the AR Charge button to add any remaining balance as a charge to the customer’s account. If you tap the AR charge button again, a 10-key window opens so you can enter a different charge amount for this sale.
If the customer has
payers attached to the AR account, a drop-down will appear so you can select to which payer you want to charge this sale.
[F9] Foreign
This button will only be available if the system has been set up to accept multiple currencies. Use this button to tender foreign currency. The
Foreign Currency Tendered window will open so that you can specify the type of currency and verify the exchange rate that is to be used.
After you specify the Currency Type, the amount, and close the window, the system will insert a Cash line in the Tender Grid and will reflect the Currency Code in the first column. Then you can specify the amount of the foreign currency in the Amount column.
[F10] Pre-Auth / Post-Auth
This button is only enabled if you selected authorization software in Module Preferences and the selected customer is
allowed to pay by credit card. When you select this button, the customer can swipe his credit card (if you use Genius) or you can fill in the appropriate information to pre-authorize the credit card (if you use TransPort). When the transaction is complete, it is set to a Hold status until it is retrieved.
This button changes to read Post-Auth when a pre-authorized hold transaction is retrieved and changed to an invoice. Click this button to complete the transaction for a previously pre-authorized amount.
[F11] Void / Return Deposit
Select the Void button if you want to void this transaction. This button will only be available if a tender line has a status of “Authorized.” You cannot void debit card transactions.
Based on your setup, you may be prompted for an authorization number for the voided sale. If this is the case, the Status / Authorization Number field is enabled. Enter the authorization number for the voided sale and complete the transaction.
This button toggles to Return Deposit for work order transactions and is enabled if you have a deposit posted to the transaction. Clicking this button opens the Sales Return Deposit Lookup window from which you can select the deposit you want to refund.
[F12] Deposit Status
This button will only be available if the sale is a Work order or a retrieved sale that has a deposit associated with it. To view the deposit status, press the F12 key on your keyboard or select the [F12] Deposit Status button on the right-hand side of the window.
This will open the Sales Deposit Status Lookup window which includes all deposits that have been posted to the current work order. This will also include any refunded deposits, along with the total deposits received, total deposits refunded, and net deposit amount.
Tendered
This label shows the amount that has been collected from the customer so far on the current transaction.
Balance / Change Due
This label shows the balance remaining on the current transaction or the change due to the customer.
[CTRL+D] Done
Select this button or the indicated hot key combination to automatically fill the Tender Grid with the default tender (as indicated on the
Closeout tab of the Set Up Sales Entry Layout window), close the transaction, and print the receipt/invoice.
If the default tender fails (i.e. if the default tender is a debit card and there has been no debit card information entered), then the method indicated in the Default Alternate Tender field on the Closeout tab of the Set Up Sales Entry Layout window will be used. If that fails, then cash will be used.
[CTRL+S] Save Without Printing
Select this button or the indicated hot key combination to save the current transaction without printing a receipt or invoice. This can be useful if you had to correct an entry, but there is no need to print it.
[ESC] Cancel
Select this button to return to the sales entry window without saving the tendering information.
