AccountsReceivableCS > Accounts Receivable > Options menu > AR Module Preferences window > AR Module Preferences window: General tab
AR Module Preferences window: General tab
Use this tab to define the basic settings for the Accounts Receivable module. Some of these settings will determine how you can enter transactions and how customer information appears.
Multi-batch mode
Select the Multi-batch mode check box if more than one person needs to enter transactions at the same time. You can also turn on multi-batch mode to enter and hold transactions in different batches so they can be posted at different times.
NOTE: You must select the Multi-batch mode check box if more than one network station will enter transactions. If you leave this check box unchecked, only one network station can enter transactions at a time, and all transactions that have been entered, but not posted, are held together in one batch and must be posted together.
Duplicate Address
Select the Duplicate Address check box to automatically copy the customer's billing address to the shipping address in the AR Customers window. You can manually change the shipping address if necessary.
Allow Credit Card Payments
Select this check box if you plan to accept credit cards for payment from your customers.
Selecting this check box enables certain options in this window as well as access to the CC Payment check box in the AR Enter Payments/Adjustments window and the AR Clerk field in the AR Set Up Batch window.
Prompt for Authorization Information
This check box is only available if the Allow Credit Card Payments check box is selected and the Authorization Software field is set to <No Authorization Software>.
Select this check box to prompt users for authorization information when they process credit card transactions through the AR Enter Payments/Adjustments window.
Block Charges to AR Customers
Select this check box if you want to prevent customers with past due accounts from charging to their accounts in Accounts Receivable and Sales. A customer is past due when he is no longer current based on the aging defined in the AR Code attached to his account. A past due label will appear in the AR Customers, AR Enter Payments/Adjustments, and the Order Entry and Enter Sales windows for customers with past due accounts. You can override the block if your Clerk Code or Salesperson Code is assigned override rights.
Last Posting Number
This field displays the number that was applied to the last transaction in the last posted batch. This number is automatically updated and is informational only.
Last Batch Number
This field only appears if the Multi-Batch Mode check box is selected and is the number of the last batch used. This information is updated automatically and is informational only.
Name Reversal Character
Use the name reversal character to enter your Accounts Receivable customer names as last name first, followed by a separator character and then the first name. This lets you organize your data tables alphabetically by last names for reporting, but print the names in the correct order on statements and mailing labels.
To use this feature, specify the character you want to use to separate the names. When you enter customer names in the AR Customers window, type the last name first followed by the specified character and the first name. The default setting for this field is blank. You can change the setting to one of the following characters:
! , : ; / @ \ ^ or |
Statement Messages
Select this button to define or edit messages to include on your statements. You can set up a message that can be printed on all statements, as well as messages that will automatically print depending on the aging of the account balance.
Show Prepaid Quantity Amount
Select this check box if you want a field to appear in the top section of the AR Customers window that shows the quantity of prepaid services remaining.
Title
This field is only enabled if you select the Show Prepaid Quantity Amount check box. Enter the field label that you want to appear in the AR Customers window to show the amount of prepaid service available for each customer. For example, if you offer phone support services, you can enter Support Minutes to show how many minutes are paid for.
Additional Customer Date Title
If you want to add a custom date field to the top section of the AR Customers window, enter the label for the date field here. For example, you could use this field to enter an installation date, a first contact date, or an anniversary date. If you leave this blank, the custom date field will not appear.
Authorization Software
This field is only enabled if you select the Allow Credit Card Payments check box. TSYS® TransPort™ must be installed before you can select it in this window. If you will use TSYS® TransPort™ 4.0, there is no software to install, but you must enter your setup information in the TSYS Setup window. Select from the credit card authorization options:
<No Authorization Software>: Choose this option if you will not use authorization software.
TSYS® Transport™: Select this option if you have TSYS Transport installed on your computer.
TSYS® Transport™ 4.0: Select this option to access the TSYS Transport web portal.
Import and Export Bank Information
Select this check box if you want to include bank account information (account numbers, routing numbers, etc.) in your imports and exports.
If you leave this check box unchecked, this information will not be included in your imports or exports. If your import file includes bank account information, the information will not import into the Denali database. If bank information is in the database, the information will not be included in the export file.
