AR Codes window
Use this window to set up your AR Codes. These codes have several functions.
Direct posting of Accounts Receivable transactions and Sales invoices to the appropriate General Ledger accounts.
Set up different aging periods for different groups of customers. If you selected to block charges to past due customers in Module Preferences, this code determines the customer’s aging.
Separate printing of balance forward statements and open item statements.
Filter reports or statements based on an AR Code.
AR Code 
Type a code name of up to six characters. This code represents the customer group and general ledger account number (if you are not using the interface table). You can use any combination of letters, numbers, or special characters.
Do not duplicate your Sales Register Codes, or if you are using GL Interface Codes, do not duplicate your GL Cash Key in either of the Sales Module Preferences windows.
Terms Code / Description 
Enter the Terms Code for this AR Code. When you attach this AR Code to a customer record, this Terms Code will auto-fill in the Terms Code field on the Credit/Collection tab. You can change the Terms Code for any customer if necessary.
This is a required field. If you do not set terms for customer payments or finance charges, we recommend you make one Terms Code with no terms set.
The description you defined for this Terms Code will automatically appear in the Description field. The description cannot be changed.
Date Last Purged 
This date shows the last time you purged your open items. You cannot manually change this date.
Period End Date 
This date shows the last day of the current period in your fiscal calendar. You cannot manually change this date.
AR Code Desc 
Give this code a description of 50 characters or less that easily identifies the customer group and general ledger receivables account.
GL Account / GL Description 
Enter the general ledger account number that is used as your accounts receivable control account. The description of the general ledger account will automatically appear in the GL Description label.
This field is only available if you are not using the interface table.
Account Type / Balance Forward / Open Item 
Select the account type for this AR Code, either Balance Forward or Open Item.
Age By Fiscal Calendar 
Check the Age By Fiscal Calendar check box to make the length of your aging periods the same as your fiscal calendar periods. Leave this box unchecked if you want to manually set the length of your aging periods.
Aging Period Length
If you did not choose to have your aging periods match your fiscal calendar periods, enter the length (in days) of the current aging period as well as Periods 1, 2, 3, and 4. The number of days you enter in the Current field is the number of days from the time of the charge that the customer will be considered current on his account.
Aging periods are cumulative, meaning the number of days you enter in the Period 1 field are added to the number of days in the Current field. For example, if you enter 20 days in the Current field and 20 days in the Period 1 field, 40 days will have elapsed at the end of Period 1 since the customer charged their account.
