AR Set Up Batch window
Use this window to define a batch identity and maintain batch information in your system. Batch processing allows you to have more than one user enter transactions at the same time. It also allows you to separate transactions into different batches so you can post them at different times, based on purpose, timing, or any other category that is meaningful to your operation. Batch processing is only available if Multi-batch mode has been selected in the AR Module Preferences window.
Batch Number 
The batch number is set automatically by the system, and cannot be changed. The numbering scheme begins with “AAAAAA” and continues with “AAAAAB”, “AAAAAC”, and so on. After reaching “AAAAAZ”, the next batch will be “AAAABA”, followed by “AAAABB”, “AAAABC”, and so on. The pattern will continue until the batch “ZZZZZZ”, at which point the sequence will start over at “AAAAAA”.
Identity 
Enter an identifying description in the Identity box. The default will show the three-character user ID and the current time. You can change this if necessary; for example, you might change the identity to something like: SUP 15:28:49 Monday 3/17, or MGS Monthly Rental Charges 3/17/10.
Date Created 
The date in this box reflects the date in which this batch was created. If this is a new batch, it will reflect the current transaction date. This is set by the system but can be changed by using the Change Local Transaction Date option located on the Transaction Tasks menu.
Transactions 
This is the number of unposted transactions currently in the open batch. It is for informational purposes only and cannot be edited. If you are using this window to delete a batch, this field must show zero.
AR Clerk 
This field only appears if the Allow Credit Card Payments check box is selected in the AR Module Preferences window. Select the AR Clerk Code you want to use with this batch of transactions from the drop-down. The default for this field is set in Module Preferences. You can change the clerk you select here when you enter transactions.
