PR Employee Management window: Leave tab
Use this tab to attach Leave Codes and view leave totals for this employee.
Leave Report 
Select this button to open the PR Employee Leave Report window. This button is enabled when an employee is selected in the Employee number field.
Attached Codes
Use this section of the window to add Leave Codes to this employee.
Code 
Enter the Leave Code you want to attach to this employee or use the Lookup to select one.
If you create a Leave Code based on Piece Work, you will also need to assign a regular pay rate to the employee (not only a piece work pay rate) to use as the pay rate when the employee uses Leave.
Type 
This field is informational only and displays the leave type based on your setup in the PR Leave Codes window.
Shelter Code 
This field is informational only and displays the Shelter Code applied to this Leave Type in the Leave Totals grid.
Description 
This field is informational only and displays the description you entered in the PR Leave Codes window.
Accrued 
This field is editable and displays the accrued amount for the Leave Code for the current payroll year (YTD). It calculates when you post payroll or process periodic leave.
Current rate 
This column is informational only and displays the current accrual rate based on your setup in the PR Leave Codes window.
Annual Limit 
This column is informational only and displays the annual accrual limit for the Leave Code. The limit is set in the PR Leave Codes window.
Next Accrual 
Rows in this column are only active if the Roll Over Unused Units Worked check box is checked in the Leave Codes window for this Leave Code. It shows the amount of units needed to accrue leave and updates each time you post payroll. You can edit this field.
NOTE: If you void a paycheck older than the most recent check, this column might show a negative number. The amount is correct and when you issue a new check the amount will reflect a positive number.
Leave Totals
Use the grid to view totals for each leave type for this employee. The Used, Remaining, and Max. Limit fields are editable.
Leave Type 
This column displays the leave types based on the Leave Codes you attached to this employee in the Attached Codes grid. Codes of the same leave type are compiled into one row.
Shelter Code 
Enter a Shelter Code or use the Lookup to select one if you want to shelter the Leave Type for this employee. All Leave Codes of this Leave Type will be sheltered for this employee.
Accrued 
This column is informational only and displays the accrued amount for the leave type for the current payroll year. It calculates based on the accrued amounts of the Leave Codes of that type in the Attached Codes grid.
Used 
The column displays the amount used for the leave type for the current payroll year. You can edit this field. This field calculates when you post payroll.
Remaining 
This column displays the amount remaining for the leave type. You can edit this field. This field is a running total of the leave type. It will not increase above the maximum limit.
Max. Remaining 
Enter the maximum amount of remaining leave the employee can have. This is the most leave the employee can hold at one time.
You must enter a number here to save the record. The limit is for this employee for all codes of this leave type.
NOTE: It’s possible to have a number in the Accrued column higher than the number in this column. This happens when an employee has a leave amount close to the maximum amount allowed, uses leave, and then accrues more. The remaining amount is never more than the maximum allowed, but as the employee uses leave and earns more, the accrued amount can be higher than the maximum allowed.
