PR Employee Management window
Use this window to manage employee information. You cannot edit an employee record if the employee is included in the current payroll batch. If you need to edit an employee included in a batch, delete the employee from the Process Payroll window, make the necessary changes, and add the employee back into your payroll.
Employee Number 
Enter a unique employee number or use the Lookup to select an existing number to modify. Employee numbers can be up to 25 characters. You cannot edit this field after you save. This field is required.
Employee Name 
Enter the employee’s name in the appropriate boxes. The first and last names are required. You can edit this field after you save.
SSN 
Enter the employee’s Social Security number. The full number appears in this field, but is encrypted in the database for security. This field is required and must include a minimum of nine digits.
Department or Program 
Enter the Department Code or Program Code for the employee or use the Lookup to select one. This field is required.
Filing Status 
From the drop-down, select the filing status for this employee. You can choose from: Single, Married Filing Jointly, Married Filing Separately, Head of Household.
Use only QuickBooks Time to adjust hours 
This check box only appears if you selected the Enable QuickBooks Time integration check box in Module Preferences. Select this check box if you only want to edit hours for this employee through QuickBooks Time. If you select this check box, the following columns are disabled:
The Default Units on the Pay Rates/Taxes tab (this is zeroed out first)
All Unit columns in the Enter Units window
All Unit and Leave columns in the PR Enter/Edit Daily Units window
If you need to edit imported units, delete the employee from the Enter/Edit Daily Units window, make the changes in QuickBooks Time, and import the units again.
Print 
Select this button to open the PR Employee List Report window.
