PR Module Preferences window: General tab
Use the options on this tab to define and view general default settings for Payroll.You can also choose what information you want to print on your check stubs.
Current Payroll Year End
Enter the year for your payroll year-end date. The date defaults to December 31 for the current year of your
fiscal calendar. The year must be within the fiscal calendar. If you enter a year outside the fiscal calendar, it will change to your current year. When you reset year-to-date totals, this date automatically changes to the next year in your fiscal calendar.
Check Format
Select your default check format from the drop-down. You can change this format when you print payroll checks.
• 1- Plain-paper laser SCS: this format prints on plain paper in the order of stub, check, stub.
• 3 - Plain-paper laser CSS: this format prints on plain paper in the order of check, stub, stub. We recommend you use this format if you have more than 3 pay rates or more than 12 benefits/deductions per check.
Last Check Printed
Enter the check number, up to twenty characters, that precedes the number you want to assign to the first check. For example, if you want to start with check number 1500, enter 1499 in this field. Each time you process payroll, this field will update to show the number of the last check printed. If you leave this field bank, your first check number will be 0000000001.
Last Direct Deposit Number
Enter the direct deposit number, up to twenty characters, that precedes the number you want to assign to the direct deposit stub. For example, if you want to start with number DD-1500, enter DD-1499 in this field. Each time you process payroll, this field will update to show the number of the last direct deposit printed. If you leave this field bank, your first check number will be 0000000000.
Default Max. Garnishment Percentage
Enter the default maximum percentage that an employee’s pay can be garnished for each pay period. The default is 60%. You can override this percentage for individual employees on the
Garnishments tab of the
Benefits/Deductions tab of the
PR Employee Management window. You can enter a maximum percentage in this field up to 5 digits in the format xxx.xx.
End Date of Last Timesheet Import
This field is informational and displays the end date of the last timesheet you imported. The Import Daily units window will have a default start date of the day after the date displayed here.
Enable QuickBooks Time integration
Select this check box if you want to integrate
QuickBooks Time time and attendance tracking software with Denali. This allows you to import employee information, including units and leave, from QuickBooks Time.
If you’re logged into QuickBooks Time when you save employee pay rate, leave, and general information in the Employee Management window, your records in QuickBooks Time will automatically update. Also, if you delete an employee record in Denali, the record will be archived in QuickBooks Time.
Make notes visible
Select this check box if you want to default to the
Notes tab in the
PR Employee Management window when you open the window.
Show bank information on reports
Select this check box if you want to show bank information on your Direct Deposit report. If you leave this unchecked, the fields on the report will be blank.
Enable multi-batch mode
Select this option if you want to use
multiple batches to process payroll.
Encrypt Social Security number on checks and reports
Select this check box if you want to encrypt your employees’ Social Security numbers on payroll checks and reports. This does not encrypt the number on tax reports or the Employee List Report, however the List Report gives you the option to not print them. Leave this box unchecked if you want the entire Social Security number to appear on checks and reports. Regardless of your selection, the entire number is encrypted in the database for security.
Encryption Format
This field is only available if you selected the Encrypt Social Security number on checks and reports check box. Select how you want the Social Security numbers to display on checks and reports.
• Don’t Show SSN: displays all numbers as asterisks
• Show first three digits: only displays the first three numbers and shows the rest as asterisks
• Show last four digits: only displays the last four numbers and shows the rest as asterisks
Auto due to / from (Fund product only)
Select this check box if you want the system to create and post due to/due from entries to the account you enter in the Fund number field. If you leave this check box unchecked, transaction amounts will post to the fund attached to the expense account on the transaction, but separate due to/due from entries will not be created.
Fund Number (Fund product only)
This field only appears if you select the Auto due to / from check box. Enter the fund number you want to post to when you generate due to/due from entries.
Allow override of pay rates in Prepare Payroll
Select this check box if you want to be able to edit the
Regular,
Other Time 1 Units, and
Other Time 2 Units pay rate fields in the
Enter Units window in Prepare Payroll. If this check box is not checked the fields will not be editable.
Print on Check Stubs
Use the options in this group to define what you want to print on check stubs.
Maximum Benefits / Deductions per Check
From the drop-down, select the maximum number of benefits and deductions you want to print on each pay stub. You can select
All to include all benefits and deductions. If an employee has more than the maximum amount set to print, the system omits the additional benefits or deductions based on the latest ones added to the
Benefits / Deductions tab in the
PR Employee Management window.
Number of Pay Rates per Check
From the drop-down, select the maximum number of pay rates you want to print on each pay stub. You can select
All to include all pay rates. If an employee has more than the maximum amount set to print, the system omits the additional pay rates based on the latest rates added to the
Pay Rates/Taxes tab in the
PR Employee Management window.
Benefits, Deductions, Additions, Regular units for salaried employees, Tips
Select the check boxes for the items you want to print on your employees’ checks.
Summarize pay rates
Select this check box if you import daily units and you want to summarize the pay rate lines on the stub rather than have a line for each day.
Organization address on check stubs
Select this check box if you want your organization’s name and address to print on check stubs.
Organization address on direct deposit stubs
Select this check box if you want your organization’s name and address to print on direct deposit stubs
Last Posting Number
This field is informational only and shows the last posting reference number. This number automatically increments after each posting.
Last Batch
This field is only visible if you’re using multi-batch mode and is informational only. It shows the last batch created.
Default Overtime Code
If you import daily units and you want to set a default
Overtime Code for all your employees, enter it here. This Code will be overwritten by the Overtime Code if you set one on the employee record. If you don’t set an Overtime Code in either location, overtime will not be calculated.
