PO Enter Requisitions window
Use this window to enter new requisitions or edit previously saved ones. There are many options available in this window and the options and fields available depend on how the layout was set up for your user login (Buyer Code) and how the system was set up. Because of this, some options and features presented here might not appear.
If you recall a requisition that cannot be edited, READ ONLY appears in the upper-right corner of the window. This might occur, for example, if your Buyer rights do not allow you to edit the requisition.
PO# 
Depending on the system set up, this field will autofill with the next available number based on the Last PO Number field in PO Module Preferences, or you can enter the order number by either manually typing it in the field or using the Lookup to select it.
If Pre-Issue PO Numbers is checked in the Module Preferences window, then this field is blank and you must use the Lookup to select one of the pre-issued numbers. Only available pre-issued numbers will appear in the Lookup. The pre-issued numbers are defined in the PO Pre-Issue Purchase Orders window.
If Online Purchase Order Numbering is checked in the Module Preference window, then this field is disabled and reads Generate on Save.
Back Navigation 
Use this button to search through the open requisitions beginning with the latest one in the batch. If the open batch is empty, a message appears indicating that no requisitions are available for selection.
Lookup PO 
Use this button to access the Lookup from which you can select a requisition. If the open batch is empty, a message appears indicating that no requisitions are available for selection.
Forward Navigation 
Use this button to search through the open requisitions beginning with the first one in the batch. If the open batch is empty, a message appears indicating that no requisitions are available for selection.
New Requisition button 
This button is only available when at least one field in the window is populated. Use this button to clear the fields in the current requisition. When clicked, a message appears asking if you want to save the current requisition. If you choose not to save, the fields are cleared and ready for you to enter data. If you elect to save, the requisition is retained, the fields are cleared, and you can enter the next requisition.
Delete Requisition button 
This button is only available when a saved requisition is open in the window. If you select this button, the open requisition is deleted from the system.
Requisition Status Drop-down 
This drop-down is only available for saved requisitions and if the logged in buyer has rights to approve the requisition. You can choose from Pending Approval, Approved, or Denied. If you select Approved or Denied, the Requisition Approver field autofills with the Buyer who is logged in and it cannot be edited.
After you save the requisition as Approved, it becomes a purchase order and it cannot be unapproved.
If any changes are made to a Denied requisition, this drop-down will automatically change to Pending Approval so it can go through your approval process again.
Pending Approval: This is the option that appears in the field when you open a saved requisition and alerts the buyer that this requisition is pending. If a requisition has been denied and changes are made to it, the drop-down will automatically change to this option.
Approved: Select this option to approve a requisition. Once you approve a requisition and save it, it becomes a purchase order and you can no longer make changes to this drop-down or the Approver field.
Denied: Select this option to deny the requisition request. Buyers with rights can then edit the requisition and put it back through the approval process. After a denied requisition is edited, the drop-down changes to Pending Approval.
Requisition Approver 
When you create a requisition, this field is optional. If a specific buyer needs to approve the requisition, use the Lookup to select that Buyer Code. If you leave this field blank, then any buyer with rights can approve the requisition.
If you have editing rights, you can edit this field on saved requisitions as long as the requisition hasn’t been approved.
If you select Approved or Denied from the drop-down, the Buyer Code for the buyer that is logged in will autofill in the field and cannot be edited. If you edit the requisition after it has been denied, the Status drop-down will change to Pending Approval and you can select a different buyer in this field.
Log Off/On Buyer 
This button is only enabled if the Allow Log On/Off Between POs is checked in the PO Module Preferences window. Select this button to log off or log back on to the system. For more information on this feature, see Selecting a Buyer.
Print PO 
Select this button to print the current requisition or a range of requisitions. When you click this button, a prompt to save the current order might appear, and then the PO Print Purchase Orders/Requisitions window opens. In the print window, enter the criteria to print the current requisition or a range of requisitions.
Save PO 
Select this button to save the current requisition and clear the fields so you can enter the next order.
