AR Customer Statements window
You can print customer statements at any time during the accounting period. You can print statements for all customers, a range of customers, or only for customers with a specific
AR Code.
Any invoice that has an amount remaining, including finance charges, late fees, etc., will show all payments towards the initial amount due even after you purge.
Sort By
Select the method to sort the statements from the following options:
• Customer Number
• Customer Type
• Customer Name
• Salesperson Code
• Biller Code
• Transaction Type
• Date
• Document #
• Billing Zip Code
• AR Code
• User-Defined Fields (if defined)
Report Type
Select a report type from the drop-down. The options are:
• Plain Statement: This includes column headers to create a complete form when you print on plain paper. It prints on laser or dot matrix printers.
• Statement: This option does not print column headers. It requires a pre-printed form and it prints on laser or dot matrix printers.
• Dot Matrix 42 Line: This option prints a short-form (7 1/2” high) statement on a dot matrix printer. This selection cannot be used with a laser printer.
• Detailed Statement: This option does not print column headers. It includes invoice detail for each customer. It prints on laser or dot matrix printers.
• Plain Detailed Statement: This includes column headers to create a complete form when you print on plain paper. It includes invoice detail for each customer. It prints on laser or dot matrix printers.
• Three Aging Periods: Prints current due amounts and amounts for two additional aging periods that you define on the
AR Code. This option prints on laser or dot matrix printers.
• Simplified Statement: Includes column headers similar to the plain statement, but it does not include a running balance as the other statements do. This statement shows only an open item's amount remaining. This statement is modeled after what is presented on the AR Aged Analysis Report. Prints on laser or dot matrix printers.
AR Code
Accept the default of
ALL to include all
AR Codes. You can enter a specific AR Code to include only customers with the specified code.
UDF Filter
Use the drop-down to select a User-Defined Field to use as a filter for the report. User-Defined fields are set up in the
AR Module Preferences window. If you do not want to use this feature, leave the default of <
None>. If you make a selection here, range boxes will appear at the bottom of the window so you can set the filter criteria.
Additional Filter
If you want to filter the statement by Biller Code, select the option from the drop-down.
Aging Periods
Use the drop-down to filter customers that appear on the report. You can choose to include all
aging periods or only customer statements that have open items in or older than the period you select.
Print Return Address
Select this check box if you want to print your address as the return address on all statements.
Skip Zero Balance
Select this check box to exclude customers with a balance of zero. If you want to include customers with zero balances, uncheck this option.
Print Dunning Messages
Select this check box to print the dunning message that has been defined in
Module Preferences. The dunning message will print on the last page of the statement, just above the period information.
Print Alternate Message
Select this check box to print the alternate message that was defined in
Module Preferences. The alternate message will print at the top of the detail section.
NOTE: Preprinted forms will only allow one line of text per statement message (the number of characters might vary depending on the characters used). To use the entire 150 characters, you might need to modify these statement formats. |
Customer / Name / Total Due / Type / UDF / Biller Code
Select a starting and ending value in the Customer, Name, Type, and/or User-Defined Field boxes to further define the report information. Only items within the range or ranges selected appear on the report. Keep the defaults of Start and End to select all items that meet the remaining criteria in the window.
Any customer accounts with a total due outside the set range are excluded. The range can be from any negative number to any positive number; for example, -$1000.00 to $3000.00.
The UDF and Biller Code fields only appear if you choose to filter by those options.
Use a custom report
This check box is only available if you
defined a custom report for this window in Controller. Select this check box if you want to run a custom report instead of the default report. The drop-down is enabled after you select the check box and you can choose the custom report you want to run.
